Japan In-house Lawyers Association Privacy Policy

The Japan In-house Lawyers Association (hereinafter referred to as “the Association”) establishes this Privacy Policy as its policy regarding the handling of personal information and endeavors to protect personal information.

1. Appropriate Collection of Personal Information

The Association shall collect personal information within the necessary scope after clearly indicating or publicly announcing the purpose of use when collecting personal information.

2. Use of Personal Information

Except when notified at the time of obtaining personal information, the Association shall use personal information within the scope of the following purposes of use:

  • For member management of the Association
  • For providing information to members of the Association
  • For surveys, analysis, and research related to the Association’s activities
  • For responding to inquiries and other communications to the Association

The Association may provide members with a membership directory containing the following information from member information obtained for member management purposes: membership number, membership type, name, phonetic reading, current affiliated organization (for associate members, last affiliated organization), department, division, subcommittee, bar admission status, affiliated bar association, registration number, training class, and date of admission.

3. Provision of Personal Information

The Association shall not provide or disclose personal data to third parties except in the following cases:

  • When prior consent has been obtained from the individual
  • When providing or disclosing in accordance with laws and regulations
  • When necessary for the protection of the life, body, or property of an individual and it is difficult to obtain the individual’s consent
  • When particularly necessary for improving public health or promoting the sound development of children and it is difficult to obtain the individual’s consent
  • When it is necessary to cooperate with a national government agency, local government, or a person entrusted by either in executing affairs prescribed by laws and regulations, and obtaining the individual’s consent would likely impede the execution of such affairs

4. Outsourcing of Personal Information

When the Association outsources personal data to third parties, it shall provide necessary and appropriate supervision of the outsourcing party to ensure the security management of the outsourced personal information.

5. Compliance with Laws and Regulations

The Association shall comply with the Act on the Protection of Personal Information, related laws and regulations, and relevant guidelines regarding the handling of personal information.

6. Security Control Measures for Personal Information

The Association shall implement security measures to prevent unauthorized access to personal information, leakage, loss, or damage to personal information.

7. Improvement Measures

The Association shall endeavor to respond appropriately to changes in the social environment regarding the handling of personal information and, as necessary, make changes, revisions, or additions to this Privacy Policy or the Association’s rules, and strive to improve operations.

8. Response to Requests for Disclosure, Correction, etc.

The Association shall establish a designated reception desk and respond appropriately using proper methods to requests from individuals for confirmation, correction, addition, and deletion of registered contents of personal information, as well as requests for suspension of use and suspension of provision to third parties.

9. Handling of Complaints

The Association shall respond appropriately to complaints regarding the handling of personal information.
